IDM Hospitality is seeking a professional, organized, and reliable individual to join our Operations Team as a People Services Director. In this role, you will work independently as a part of a small team who offers services across our portfolio of hotels and restaurant.
SUMMARY SCOPE OF ROLE
This corporate level position provides human resources leadership, strategic support, consultation, coaching, and advice to the property leadership teams throughout IDM’s hotel portfolio. This position will also work with IDM’s Executive Committee members to assist in the development of employment process to support business goals and objectives. This key associate will be hands on in the coordination and oversight of all human resources activities such as employment, compensation, payroll processing, employee relations, benefit administration, training, and performance management.
The focus of this role is to connect with our associates to drive tangible results through the commitment and buy-in of others. While this role requires strong initiative and self-direction, results are only achieved with and through people, so the ability to successfully influence and persuade others by understanding how their individual needs and motivations link to goals is essential.
This position has a variety of tasks inclusive of not only traditional human resource responsibilities, but also bi-weekly payroll processing. A Payroll & Accounting Support team member is on the scene to support the People Services Director with some of the transactional functions of the role. Since goals and desired results can quickly change, the job requires regularly meeting with and pro-actively establishing relationships throughout all levels and locations of our organization. Details will need to be handled quickly, accurately and will often have to be made in ambiguous situations under pressure and will generally need the ideas and advice of others.
MINIMUM EDUCATION/RELEVANT WORK QUALIFICATIONS
Bachelor's degree in Business or Human Resources with a minimum of three to give years’ experience in a high-volume hospitality environment is preferred. Leadership or managerial level experience with a background in hospitality industry is also highly desirable
ESSENTIAL FUNCTIONS & RESPONSIBILITES
  • Full Cycle Payroll for multiple company profiles
  • Process accurate and timely year-end reporting when necessary (W-2, 1095's, etc.)
  • Process garnishment calculations correctly and in accordance with compliance regulations
  • Administers health and welfare plans including enrollments and terminations. Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Serves as the Cobra Administrator for company
  • Processes monthly billings from insurance providers. Reviews billings for accuracy, codes and advances for payment. Resolves discrepancies with carriers, payroll and the company. Coordinates with insurance companies to resolve associate insurance issues. Completes reports for management as requested
  • Assists with annual open enrollment by helping produce and distribute information, communicating with the carriers, and auditing enrollment information. Processes changes within deadlines
  • Serves as primary contact in the benefits audit process
  • Set up new associates, update salary rates and withholdings; interact with the accounting team on benefits, deductions, and garnishments where applicable
  • Apply knowledge of company policy and federal/state wage and hour laws in the processing of and computation of regular pay, salaried versus hourly pay, leave (including FMLA, disability leave, military leave, jury duty, etc.), and overtime
  • Effective recruiting support for all roles within the IDM portfolio utilizing progressive and innovative recruiting techniques while being mindful of time, cost and quality
  • Partner with the operations team to assist in property level associate engagement strategies
  • Schedule associate exit interviews as needed
  • Analyze wage and salary reports and data to determine a competitive compensation plan and individual compensation recommendations
  • Design and facilitate effective training and development programs for associates
  • Provide guidance to management on all aspect of employment including talent acquisition, staffing, employment processing, compensation, health and welfare benefits, training and development, records management, safety and health, succession planning, employee relations and retention, AA/EEO compliance, and labor relations
ADDITIONAL JOB FUNCTIONS
  • Maintain associate personnel files
  • Process timely payments for all federal and state tax filings, including quarterly reporting and year-end reconciliations and issuing W-2’s;
  • Assist associates with processing of time cards, benefit facilitation, etc.
KEYS TO SUCCESS IN THIS ROLE INCLUDE
  • Ability to partner with all levels of managers, providing a consultative approach and employee relations
  • Ability to act quickly and efficiently with high degree of professionalism.
  • Excellent organization and prioritizing skills
  • Proficient in Microsoft Word, Excel, PowerPoint, and social media technologies
  • Familiar with specific pay plans, benefits administration, 401K, HR policies and regulations specific to the hospitality industry
  • Strong organizational and communication skills (both verbal and written) and ability to work well with all levels of associates as well as managers
  • Attention to detail and ability to meet tight deadlines
  • Take customer service-oriented approach to respond to requests and questions from associates and management (must be able to effectively prioritize phone calls, in person, and email inquiries while also completing regular tasks)
  • Valid driver's license (this position may need to drop off items for urgent mailing needs)
EXPECTED WORK HOURS & LOCATION
This is a full-time position based at the corporate office in Madison, Wisconsin with a minimum of forty hours per week expected. Standard days and hours are Monday through Friday 8:00am – 4:30pm. Scheduled work hours may change based on business need.
SUPERVISORY RESPONSIBILITIES
The People Services Director reports directly to the President of IDM and has co-supervisory responsibilities for the Payroll & Accounting support personnel.
PHYSICAL REQUIREMENTS
Ability to lift to 25lbs, clearly communicate verbally with associates and public. Speak, hear, see, read, write, type, dial, reach, and bend.
TRAVEL REQUIREMENTS
Periodic travel (less than 15%), including car, train and/or airline travel along with overnight stays, may be required as we operate properties in multiple states
